Data Retention Policy

Data Retention Policy

Effective date: 21 October 2026 · Last updated: 21 October 2026

This policy sets out how long Faunify keeps each kind of record, how records are deleted, and what happens to a workspace when its subscription ends. It supports our obligations under the Australian Privacy Principles and Australian tax and record-keeping law.

1. Principles

  • We keep personal information only for as long as it is needed for the purpose it was collected.
  • Legal minimums (for example, 7 years for financial records) override earlier deletion.
  • When a period ends, records are deleted or de-identified in the ordinary course of business.
  • A business workspace controls the records it holds; we retain them for that workspace and delete them when it closes.
  • Records subject to a legal hold, dispute or investigation are kept until that matter is closed.

2. Retention Schedule

Recovery from accidental deletion or technical failure

Kept: Rolling 35 days, then overwritten

Periods are counted from the date the record was created or last updated, unless stated otherwise.

3. Account and Workspace Closure

An administrator can close a workspace at any time. On closure the workspace becomes inaccessible immediately and is queued for deletion. A 30-day recovery window applies if the closure was accidental; after that, the workspace and its records are permanently deleted, except records we must keep for tax, accounting or legal reasons.

Closing a workspace does not delete the personal accounts of its staff. Their own login remains, minus the workspace access.

4. Individual Requests

A person may ask for their account to be deleted from settings, which removes their profile, access and personal records not needed for a legal obligation. Where a record sits inside a business workspace, the request is directed to that business, and we assist it in responding.

Send requests to admin@faunify.co. We respond within 30 days and confirm what was deleted and what was kept, and why.

5. Deletion and De-identification

Deleting a record removes it from the live system and from the search and reporting features. Copies in the rolling backups are overwritten within 35 days. Where a record cannot be deleted because of a legal requirement, we restrict access to it and keep only what is necessary.

Aggregated information that cannot identify a person or a business (for example, total counts used to keep the platform reliable) may be kept longer.

6. Legal Holds

If a record is relevant to a complaint, insurance claim, investigation or legal proceeding, its deletion is suspended until the matter is closed. Only the people handling the matter can access it during that time.
